The workplace environment should be functional and ergonomic and provide balance in the body and the brain. The following suggestions can help you make the best use of your office space.

Maximum utilisation of workspace is very important for good business flow. Several industry studies conclude that the daily average maximum utilisation rate of workspace is around 48%. The functionality of the workspace is a key factor for employee satisfaction and performance and although the trend of less office space is justified by the recession, still there should be enough space per employee to push their chairs away from their desks without bouncing on a colleague, and to promote basic ergonomics. Especially, in open plan workplaces, where managers have their own offices and employees are all in an open office environment, it is important to consider a clustered arrangement of cubicles so that more people can be accommodated and the good energy flow is facilitated. The only thing to consider in such arrangements is confidentiality.

The use of flexible furniture, instead of built-in desks, is highly recommended so that the furniture can be easily rearranged if the business flourishes and more employees are hired. The aisles must be straight and easily accessible. The lobby area should reflect the right impression to the client on what the business is about and how seriously it should be taken. When a client enters the office, it should be appealing and welcoming.

Lighting and ventilation in the workplace should be carefully considered when determining the office planning. The natural light has positive effects on the human body and brain, helping us to stay alert and attentive. Therefore, placing the workstations close to windows will encourage employees to stay focused on their work. Poor ventilation in the workplace can pose a high risk for the employees’ health. High levels of carbon dioxide can cause extreme fatigue, headache, nausea, shortness of breath, and dizziness among other symptoms. Irritation and discomfort affect employee performance and concentration can increase sick leave. Overall, poor ventilation can seriously affect business flow and operating results.

It is important for employees to have breakout areas where they can take a break and relax in a modern, friendly environment that it is informal and nothing like the meeting rooms where (some of them) spend their entire day.
